Vacation Scholarships Procedures

As part of the transfer of Vacation Scholarships a review and analysis of the current policy and procedures was undertaken resulting in a revised Vacation Scholarships policy which outlines the requirements for the provision of Vacation Scholarships offered at Monash University. 

The revised policy provides a framework and guiding principles for the administration of Vacation scholarships and now requires the revision and implementation of new procedures. The revised procedures set out the mandatory steps required to implement and comply with the principles of the policy.

 

  1. The purpose of these scholarships is to encourage and attract high quality students interested in pursuing a career in research or academia. It is not an employment arrangement and Vacation Scholarship holders are not employees of Monash University.
  2. Vacation Scholarships will be advertised publicly and awarded on academic merit and based on the research area of the participant aligning with the objectives of the Department.
  3. They are available only to full-time currently enrolled undergraduate students who have completed at least the second year of their undergraduate degree and who are not employees of the university.
  4. Scholarship holders must undertake research-related activities in the school or department offering the scholarship and must be paid no less than a minimum and no more than a maximum amount as set from time to time by the Coursework Scholarships Unit (CSU) in conjunction with faculty departments and/or heads of schools.
  5. The Coursework Scholarships Unit is primarily responsible for administering the Vacation Scholarships in accordance with the Vacation Scholarships policy.
  6. Vacation Scholarships must be offered prior to the end of the semester preceding the vacation scholarship.
  7. Applications for Vacation Scholarships will be via the CSU website.
  8. After the applications have been closed the CSU will collate all the data and rank (on merit) the students accordingly.  The collated data and rankings will then be sent to the departments for selection.
  9. The departments after matching the students and research projects will then select the successful applicants and advise the CSU who will then be responsible for making the payments and any further administrative processes as outlined in the procedures.
  10. Vacation Scholarships will have a duration of between four to thirteen weeks as determined by the Faculty. Vacation Scholarships are only available for the period between the last day of the exam period and the commencement of the next semester. Vacation Scholarships of a shorter period may be offered for the duration of the mid year semester break.
  11. Students will be required to comply with all policies and protocols of Monash University whilst participating in the vacation scholarship.
  12. International students who apply for scholarships must provide evidence that undertaking the vacation scholarship will not be in breach of their visa obligations.
  13. If a currently enrolled full-time student applies for a vacation scholarship and they are presently employed by Monash University, the individual Department must provide additional evidence demonstrating that there is no connection between the vacation scholarship and the work for which the student is paid as an employee.
  14. The individual Department offering the vacation scholarship will offer between $250 and $400 per week to participating students.  One or two lump sum payments will be made to students by the CSU dependent upon duration of the scholarship. Other benefits may also be provided as determined by the by the Coursework Scholarships Units in consultation with the individual Department. Other benefits must form part of the Vacation Scholarships and where approved may form part of the lump sum payment/s.
  15. Departments will fund the vacation scholarship from their budgets.  Payments will be made to students by the Coursework Scholarships Unit on behalf of all departments.
  16. Departments participating in the vacation scholarship programme will be required to contribute to the costs associated with external advertising of the Scholarships, including the preparation and placement of the advertisement in appropriate media.  All external advertising should be referred to the Monash University Marketing department who will then coordinate the media campaign.
  17. Students who reside within Australia but outside of the Melbourne metropolitan region will be entitled to an allowance equivalent to one economy return rail or air fare (which ever is cheaper) which may form part of the lump sum payment/s.
  18. Vacation Scholarships will not be subject to income tax, superannuation or other employee related costs.
  19. Monash enrolled students will be covered by the Universities Student Personal Accident policy.  Other students (i.e. not enrolled at Monash) will be required to check with the Higher Education Provider where they are enrolled to determine insurance cover.  Where insurance coverage is not provided by their Higher Education Provider, the student will be required to arrange personal accident insurance.
  20. All Intellectual property arising from activities undertaken during the Vacation Scholarship is owned by the University.
  21. Participants are required to keep confidential any information relating to the Department or University that they may learn during the course of the Vacation Scholarship.
  22. Participants are required to keep confidential any information relating to the research project in which they are engaged.
  23. Participants will be entitled to use relevant University facilities and services as determined by their supervisor however, responsible and ethical use is required at all times.
  24. Monash University reserves the right to terminate a scholarship forthwith in the event a participant fails to attend the University during the period of the vacation scholarship without providing reasonable notice of absence or is otherwise engaged in an act of misconduct. This right may be exercised at the absolute discretion of Monash University. If a scholarship is terminated the stipend payment will cease immediately.
  25. Monash University reserves the right to seek from the participant any overpayments made.
  26. Participants will be required to adhere to the University's research protocols.
  27. Participants will be required to follow all relevant safety measures as directed by their supervisor.
NOTE: Where extra administrative requirements are requested of the Coursework Scholarships Unit [Student Administration and Systems], departments participating in the Vacation Scholarship programme may be required to contribute to the additional cost of administering this program.
